What an AI receptionist actually is
A phone receptionist answers calls on your behalf: books appointments, gives information and takes messages. Traditionally that’s someone at your front desk or an outsourced answering service.
An AI receptionist (also called a virtual receptionist or AI phone assistant) does the same job with a digital voice that understands what the caller says and replies naturally. It isn’t the old “press 1” menu: callers speak freely, as they would to a person.
When it’s worth it
- You miss calls because you’re with a customer, in treatment or on the road.
- Customers call in the evening and at weekends.
- Your receptionist can’t cover every line at peak times.
- You have no-shows and want reminders.
When a person is better
Difficult, emotional or complex conversations, and anything that needs judgement. That’s why most of our customers don’t replace their receptionist: Daphne answers only when they can’t, or out of hours. Anything she doesn’t know becomes a message.
Common questions about AI receptionists
Won’t callers be annoyed not to speak to a person?
Callers are annoyed when nobody answers. Daphne says she’s a digital assistant, answers instantly and books in under a minute.
Can she put an urgent caller through to me?
She takes a message with name, number and reason, which you see straight away in the app. You can also tell her what to say for urgent cases, for example which mobile to call.
Does it replace my receptionist?
It doesn’t have to. She can answer only when your receptionist doesn’t pick up within 20 seconds, or only out of hours.
How fast is setup?
After a short intro call we set her up with you, usually within a day. You test her first and she goes live when you’re ready.
